  • Find Project function in the Prolog Manager Portfolio Manager - If you have dozens of projects in your Prolog Manager database and need to locate one quickly, use the Find feature.  From the Portfolio Manager, look in the lower left corner and you will see the familiar “Locate Records in List View” icon (binoculars).  Click on the icon, and then click Find.  Type in a key word and Prolog Manager will highlight the first project that contains the word.  Click Next and Prolog Manager will highlight the next project that contains the word.
  • Creating target schedules in Primavera P3 - It is always recommended to save a copy of each monthly schedule update for future reference.  This copy can be used as a “target” to compare actual progress against as-planned progress.  To create a target copy, Open your schedule, click Tools\Project Utilities\Targets.  Enter a new 4 character name and click OK.  P3 will automatically create the new schedule from your current version.  Open the new schedule by clicking on File and then Open.  By creating and assigning targets, you will be able to identify the impacts of delays and pinpoint periods of limited or no progress.
  • A quick way to assign activity codes in Primavera P3 - Have you ever created a code titled “Responsibility” and been tasked with assigning it to dozens of activities in your schedule?  If so, you can reduce the time required for this task by add a column and using the fill cell command.  To add a column, click on Format and then Columns.  Highlight the existing column location where you want to insert the column, click the (+) sign, and select the RESP code.  Add the value for one activity and then highlight the next consecutive activities that are assigned to the same code.  Make sure that the original RESP code was highlighted first and has a thick black border around the perimeter.  Click Edit and then Fill Cell.  P3 will automatically copy and paste the values to the highlighted cells.
  • Keep Your Lists Clean - Are your lists like Status or Importance getting cluttered with misspelled, unused, or otherwise unwanted items?  Use the Admin | List Types... feature to delete the items you don't want in the list.  If you are struggling with "bad" values continuing to show up in the lists, you can use Security Manager to lock usergroups out of the List Type feature on the feature permissions tab.  With this setting, users in that usergroup can use existing List values, but they won't be able to use or add new values to the list, or open the Admin | List Types window.
